Background information
To ensure the optimal logical structure of the structure tree in an accessible PDF for form fields, the name or label (hereinafter referred to as the "form field label") of a form field should be tagged as a "Lbl" structure element.
A form field label refers to a textual description of a form field that is visible in the document (not to be confused with a form field’s tooltip), i.e., information indicating what should be entered in the form field. In most cases, it is positioned directly in front of the form field (though it can also be positioned behind, above, or below the form field).
Here is an example for entering a name:
The text “Name:” represents the form field label and should be tagged as a “Lbl” structure element in the PDF.
The logical structure should look like this (in the PAC preview):
As this is a single paragraph of text, the text "Name:" and the form field are tagged within a "P" structure element. The form field label "Name:" is tagged as a "Lbl" structure element and the form field as a "Form" structure element.
How can you define form field labels using axesWord?
- We recommend that you create a new style in Word (e.g. named "Label form field"; however, you can choose any name you like).
- You must then set the role of this style to Form field label in the Document settings dialogue box.
You only need to set this option once for the document. - Finally, in the axesWord - role mapping task pane, you must specify where the form field label is located for the relevant form field (in the example above, this would be the previous content within the current paragraph). Therefore, select the Previous content within paragraph option:
Tip
In the Form settings dialog box, you can set the search direction for the field labels for the entire document – separately for the different form field types.
