Insert a Link to a Web Page

If you would like to insert a link to a web page in your text, click on the Insert tab in the ribbon and then on the Link button in the Links function group.

On the left-hand side of the dialog box under Link to: you can select where the link should lead to. Existing File or Website is already selected here.

Enter the web address in the Address text field below.

In the upper text field Text to display, enter the text that should appear on your slide and be highlighted with the link. This text is also read by Assistive Technologies:

  • If you provide your presentation as a PowerPoint file or accessible PDF, it is best to choose a self-explanatory, meaningful link text instead of long, incomprehensible web addresses. A link might look like this (the web address is not visible): "Website of axes4".
  • However, if you are not providing the presentation as a file or if you want the web addresses to be visible on a printout, for example, insert the web address here too and then write a meaningful description before the link on your slide. For example, "Website of axes4: https://www.axes4.com".

Insert a Link to an E-mail Address

If you would like to insert a link to an e-mail address in your text, click on the Insert tab in the ribbon and then on the Link button in the Links function group.

On the left-hand side of the dialog box under Link to: you can select where the link should lead. Click on the E-mail Address button here.

In the upper text field Text to display, enter the text that should appear on your slide and be highlighted with the e-mail address. This text is also read by Assistive Technologies:

  • If you provide your presentation as a PowerPoint file or accessible PDF, you can either insert a descriptive text or the e-mail address itself.
  • However, if you are not providing the presentation as a file or if you want the email address to be visible on a printout, for example, insert the e-mail address here.

Enter the e-mail address to be added to the text in the E-mail Address text field. The addition "mailto:" is automatically prefixed to your e-mail address and should not be deleted.

Linking an Image

If you would like to link an image, select the image and click on the Insert tab in the ribbon and then on the Link button in the Links function group.

Proceed as described in the previous sections, but note the following deviation:

The text field Text to display is grayed out because you are linking an image and therefore no text can be displayed. It is therefore necessary to add a descriptive text as a ScreenTip. The ScreenTip appears when you place the mouse pointer on the linked image in the PDF. Click on the ScreenTip button and enter a text describing the link in the Tooltip text field in the Define hyperlink tooltip dialog box.

Also describe where the link leads to in the alt text of the image. You can find out how to add an alt text in Add Alt Text or Mark Object as Decorative.
